  • Where is data usage displayed & how much is permitted?

    Amount of Data Usage

    Users can view the amount of data usage they are using when logged into the UTH-Share Google Workspace account. 

    The current limitations are detailed below:

     A shared drive can contain a maximum of 400,000 items, including files, folders, and shortcuts.

    We recommend that you keep shared drives well below the strict limit. Users of shared drives with too many files might have difficulty organizing and finding items or ignore much of the content. 

    Note: The storage limit of a shared drive is met at 400,000 items, not a specific GB limit.

    Maximum daily uploads

    Individual users can only upload 750 GB each day between My Drive and all shared drives. Users who reach the 750-GB limit or upload a file larger than 750 GB cannot upload additional files that day. Uploads that are in progress will complete. The maximum individual file size that you can upload or synchronize is 5 TB.

    File sharing limits

    A given file within a shared drive can be directly shared with a maximum of 100 groups.

    Folder limits

    A folder in a shared drive can support up to 20 levels of nested folders.

    We do not recommend creating a large number of folders in one shared drive. Users might have difficulty organizing and finding content. Instead, you can organize content into multiple shared drives.

  • What Is UTH-Share?

    Google Logo UTH-Share is UTHealth’s implementation of Google Workspace for Education. UTH-Share allows users to collaborate on documents and allows public sharing of information as well as secure, “trusted” interactions among individuals having Google identity credentials. Activities included exchanging files and folders, real-time and/or asynchronously creation and editing of content, and maintenance of revision history.

    NOTE: Do not store PHI/HIPAA data on your UTH-Share account unless you have enabled your account for PHI data access

  • Who can have a UTH-Share account?

    All UTHealth faculty, students and staff may access and use UTH-Share.

  • How do I Sign Up for UTH-Share?
    1. Go to the UTH Share Sign Up Page to activate your UTH Share account using your UTHealth user ID and password, then
    2. Set up your Duo Two-Factor authentication.
  • What is my username for UTH-Share?

    UTH-Share utilizes Google identity credentials having personal identifiers of the form Although this appears to be an email address, it is not. Email is not a part of UTH-Share at this time. (In the above username example, “jdoe” is the username and “” is the certifying authority. Notice your personal identifier may differ from the beginning of your Outlook email address and it will not include tmc at the end.)

  • Why can I not reply to a notification sent from UTH-Share to my email?

    Since Gmail is disabled in UTH-Share, the sharing notification emails from the system are not reliable.

  • How does my UID@UTH.EDU email identifier interact with my UTH-Share account?

    Your UTH identifier is used to…

    1. Sign in to UTH-Share, and
    2. To identify you as a “known” person to collaborators so they can authorize you to do a number of things like read documents owned by others, edit and/or comment on documents you do not own, create documents in folders owned by others, etc.
  • What apps are included with UTH-Share?

    Currently Drive, Docs, Forms, Groups, Sheets, and Slides are all available for use. Click on the grid of little boxes in the top right corner to access your UTH-Share apps

  • Who do I contact for help?

  • Do these apps work on a mobile device?

    Yes, as long as you have a University approved device and have accepted the Mobile Device Policy you may access any of the UTH-Share apps from your mobile device. We recommend visiting your app store to download the latest versions of Drive, Docs, etc.

  • Which browsers can I use with the system?

    We recommend using the Google Chrome browser. Although UTH-Share does support other browsers, functionality can be somewhat limited. Review the Supported Browsers list to learn more.

  • Does UTH-Share include security and privacy features?

    UTH-Share is designed to keep your data safe, secure and in your control. Visit the Google for Education Security Center to learn more. If you plan to store or share PHI, you must visit this link to Enable PHI access for your account.

  • Who owns the data that is uploaded or created with UTH-Share?

    Google does not own the data in UTH-Share as specified in the terms of service agreement. It is University data as required by the HOOP policy.

  • Can I access UTH-Share from anywhere?

    Yes, UTH-Share is network and platform independent. So you may access it from any network or PC from anywhere in the world.

  • Will there be ads in UTH-Share?

    No, ads are disabled in UTH-Share.
