Please take a few moments to familiarize yourself with UTHealth, as well as prepare yourself for your first day of work.


We understand that the first days, weeks, and months of employment are filled with excitement, a wealth of information, and many questions. We are here to provide you with the help and support needed for success in your new role.

Schedule and Helpful Information

  • Expect a call from your supervisor/department head:
    • Confirm start date, time, place, parking, dress code, etc.
    • Identify computer needs and software application requirements.
  • Complete background check and drug screening.
  • Complete the online Health History Questionnaire, if necessary.
  • Review your benefits options here.
  • Learn about different commuting options here.
  • Complete Section 1 of the I-9 employment verification by going here. Our employer code is: 13948.
  • Schedule your pre-employment meeting with Human Resources.
  • Collect the hire documentation you may need for your first day.
    • Proof of eligibility to work in the United States.
    • License plates numbers (if applying for parking).
    • Emergency contact information.
    • Personal information for benefits enrollment.

  • Attend New Hire Orientation (Subject to availability).
  • Set up your personal workspace.
  • Clarify your first week’s schedule, and confirm required and recommended training.
  • Ask your supervisor for an overview of the department – its purpose, organizational structure, and goals.
  • Review your job description, outline of duties, and expectations.
  • Review hours of work.
  • Ask questions about policies and procedures for time and attendance, use of vacation and sick time, holidays, as well as any flexible work policies or procedures.
  • Ask any other questions regarding assignments, deadlines and expectations.

 

You should begin to build knowledge of internal processes and performance expectations; you feel settled into the new work environment.

  • Enroll in relevant training and workshops.
  • Create your performance and development goals.
  • Debrief with supervisor after attending initial meetings and trainings.
  • Begin work on first assignment.
  • Request time to go over the performance review and goal-setting processes in your department.
  • Review any relevant policies and procedures with your supervisor: Handbook of Operating Procedures - HOOPs.
  • Ask for additional information about the department and organization to increase your understanding of its purpose, goals, and initiatives.
  • Arrange a building/campus tour.
  • Meet with your department’s timekeeper to discuss Time & Labor procedures.

  • Introduce yourself to others in the workplace.

  • Continue meeting regularly with your supervisor.
  • “Shadow” your supervisor at meetings to get exposure to others and learn more about the department and organization.
  • Have an informal performance check-in (after 2 months).
  • Discuss performance and professional development goals and your progress with your supervisor.

Socialization

  • Find opportunities to participate in a professional group in your field or on a cross-functional team.
  • Provide feedback and suggestions on ways to enhance the onboarding experience.

Learning & Development

  • Discuss and plan development opportunities and resources with your supervisor.

 

You have gained momentum and are productive and independent, you have begun to take the lead on some initiatives, and have built some relationships with peers as go-to partners. You feel confident and engaged in your new role while continuing to learn. This is a great time to assess what you have done well and what you could have done differently in your first six months.

  • Continue meeting regularly with your supervisor.
  • Check in with your manager regarding performance and development at the four month mark.
  • Prepare for your six-month performance review.
  • Review progress on performance goals and professional development goals.
  • Document your performance and future goals.

Socialization

  • Plan to attend or be involved in an activity outside of your work area.
  • Attend UTHealth events (such as dedications, commencements or awards celebrations, and introduce yourself to others).

Learning & Development

  • Review development goals with your supervisor.
  • Discuss and plan development opportunities and resources with your supervisor.

 

You are fully engaged in your new role – you apply skills and knowledge, make sound decisions, contribute to team success, understand how your role affects others in the organization, and have developed effective working relationships. You have a strong understanding of UTHealth’s mission and culture. You continue to be engaged in your role and have a greater confidence in position. You begin to take on additional assignments and may work with a level of autonomy.

  • Prepare and complete your annual performance review.
  • Document your accomplishments as well as feedback from others regarding your work.
  • Set goals and development objectives for the upcoming year.
  • Meet with your supervisor to review your annual performance review.

  • Provide feedback and suggestions on ways to enhance the onboarding experience.
